As President of Oakwood Glen Association I am calling for a special meeting of the Board of directors on Saturday October 21, 2023 at our club house located at 17902 Hawk Haven. The Special Meeting of the Board of Directors will begin immediately after the conclusion of the Annual Members Meeting and the Special Meeting of the Members. The purpose of the Special Meeting of the Board of Directors is to conduct two items of Association business::

1 To set the assessment for 2024.
2 To approve the 2024 budget.

The October 2023 board meeting is scheduled for Tuesday 10/17/2023 at 7:00 PM at the back park clubhouse.

The Board will be attempting to allow Homeowners access to the public meetings through Zoom on a trial basis. We are uncertain whether certain logistical issues will be detrimental to Zoom access ie... band width, acoustics in the club house, etc. We ask for your patience as we work out the logistics of providing Zoom access during a public meeting. Homeowners participating through Zoom will be able to observe the meeting but will not be able to directly participate. We believe Homeowners have the ability to message any questions they may have through Zoom and can always email their questions to Gina Keller at gina@sterlingasi.com . We will attempt to address any questions received during Open Forum.

Second and Final Special Members Meeting


Announce

The Second and Final Special Members Meeting - The Association is going to attempt to hold the "Second and Final Call" of the Special Members Meeting where Members will vote to increase the assessments from 3% to 5% for fiscal year 2024 to enable the Association to lease enough Flock cameras to cover each entrance to the community. At the first call for a Special Members Meeting quorum was not achieved. According to our Governing Documents Quorum is reduced for the second and final called meeting from 542 to 271 ballots. A minimum of 271 ballots must be received for the second meeting or there will be no quorum and the votes will not be able to be counted. At present the Association needs approximately 106 more ballots to be able to hold the meeting. Meeting will be scheduled for immediately after HOA election on October 21st, 2023. The vote has remained open since the first meeting. If you have already cast a ballot on this issue your original ballot remains valid.

It would be nice if we could do just one thing to enhance security and go to bed knowing we have done everything we could. Unfortunately, in the real-world security is multi-leveled and ever changing. The license plate readers are being offered as an additional level of protection to assist our understaffed and overworked law enforcement agencies develop leads to solve crimes should they happen. 80% of property crime and over 50% of violent crime goes unsolved due to the lack of leads. Every week we see news reports where criminals have been caught because of the license plate readers. The bottom line is that the cameras work. Because of inflation the Board will have to increase assessments for 2024 by 3%. The Board is asking for permission to increase the assessment an additional 2% ($10.09 per household) to assist in the funding of the cameras.

An official notice for the second meeting will be mailed to each Homeowner’s address of record. You can vote at any time by copying the ballot from the below link on the OWG web site and sending it to Gina by mail, fax or sending to Gina@sterlingasi.com or putting it in the locked mailbox in the back park.

Pool Keys

All,

I will be issuing pool keys by appointment only this weekend at the Front Park Parking Lot, weather permitting.  Email pool@oakwoodglen.net with your preferred day and street address and I will let you know which time slots are available.

Your account will need to be paid in full or be current on a payment plan. If you are not sure if you have a balance please send me your name and street address to pool@oakwoodglen.net and I can look it up or contact the management company.

Please bring a Photo ID that shows your name and current address.

If you are a renter please contact your landlord to see if they have already been issued a key fob. If a key has already been issued to the landlord or a previous renter and can't be found you will need to pay the lost key FOB replacement fee of $25. Please bring a copy of your lease.

If you were previously issued a pool key FOB you can still use it again this year. Please come to the front park to test your key to make sure it is working.

Each home will receive one (1) key FOB at no cost. If you would like an additional key FOB the cost is $25. Limit 2 per household.

If you have lost your previously issued key FOB the replacement cost is $25 (check or money order only). Lost key FOBs are removed from the system.
